Think Outside the Box (Part 2) – Consumer Cloud vs. Enterprise Cloud

Consumer-oriented cloud storage solutions have been making their way into the enterprise recently. “How are you guys different from DropBox?” is a question that comes up more and more often as we talk to potential customers on the phone or as we meet with people at trade shows. This type of question really doesn’t bother us–on the contrary, we’re quite happy if people notice that our product is achieving a level of ease-of-use that a product like DropBox offers for the consumer market.

Access is only one of the critical considerations that companies should look at before adopting a cloud storage solution, however. Greater control over users, data, access, storage, and security are decidedly important. Moreover, end-users will demand better file collaboration capabilities to make sure they can work on the same set of files effectively as a team.

“The enterprise can’t simply use a ‘good’ consumer based tool; it needs specific, team oriented solutions that provide the members with an effective way of sharing and collaborating on file based data,” writes George Crump, Lead Analyst at Storage Switzerland. Oxygen for Teams has been designed to be intuitive, self-service, and easy to manage. It’s perfect for small teams or businesses. It’s also a great entry point for teams within larger businesses to evaluate first without being overwhelmed by every possible enterprise-level feature we offer. Sign up for a free 5-user Basic Team account and try it out. There are no strings attached, and no additional commitment is required. You’ll get up to 7 GB of storage when you sign up (2 GB for your shared Team Space and 1 GB of personal My Files space for each added user).

All users will have access to the Manage Account application. From there, you’ll be able to edit your personal settings. You’ll also be able to see who is a member of your company’s shared Team Space. If you have Manage permission on the Team Space, you will be able to change other users’ access permissions. And if you are the account’s administrator, you will have the ability to upgrade the subscription or add additional users.

When you’re ready, you’ll be able to upgrade to the Pro Team edition if you need more users or storage space. The Pro Team version also allows creation of additional Team Spaces and includes file collaboration features such as File Versioning, Conflict Detection, File Locking, and File Recovery. Share your files with those outside of Oxygen. Simply generate a web download link for the file which you can share with others over e-mail, chat, or other means. Assign a password or link expiration time if you need additional protection.

You’ll also notice that we simplified our application menu by removing Manage Spaces and Administer Company. Now you can simply use the Manage Account option to perform all of your administrative tasks. A welcome tutorial page has also been added to help explain to new users how Oxygen works.

Coming Soon: New Releases for iPhone and iPad

Look out for upcoming App Store updates to our iPhone and iPad apps. You’ll soon be able to benefit from features which have previously been available for the desktop versions of the product: image and video compression, file recovery (trash folder), sync monitor, download and upload resume. We will also be including enhancements to our annotations feature. These updates should be available in the near future.

Oxygen is Secure Cloud Storage for Teams

In Julia’s previous post, we learned why security was a part of the DNA of our architecture and product. In addition to making sure we keep our customers’ data secure, Oxygen also exists to provide a truly team-oriented solution for business users. We’ve designed our product to be the most natural way for teams to synchronize their files across people and devices.

Why does a team-centric sharing model matter?

With individualistic, consumer-oriented products, users control files and create their own shared folders. Only a folder creator can remove people from a shared folder. But what if an individual leaves the team or company? They’ve just taken the group’s data with them. Also, if every individual had rampantly created their own folder sharing relationships, there could be a tangled mess to sort through. How do you guarantee that nobody forgets to unshare a folder with that former employee? The boundary between the team and the individual must be clear.

How does Oxygen overcome these problems?

With Oxygen, ownership and control of data in the cloud remain with your team rather than with a specific individual. When someone leaves, they don’t take company data with them. User accounts are created within the context of a team, not on an individual basis. This fundamental difference allows user management to be centralized for a group. Quickly disable a user when he or she leaves, and access to any team files is instantly revoked.

Setting up file sharing for your group is also natural and convenient. Oxygen’s Team Spaces unite the concept of people and files.  Group members are added to a Team Space in order to work on a set of files together. If you need to give a different group of users access to a different set of files, you could create another Team Space. Team Spaces appear at the top-level of Oxygen, as shown below.

Membership and permissions (e.g. read-only, read+write, admin) are centrally managed by Team Space administrators. Simply add or remove users when an employee changes his or her job function or group. We can even auto-subscribe new users to designated company Team Spaces, making setup even easier for your team administrators.

Team Space admins can even be given guest invitation capabilities so that Team Spaces can be shared with others outside of the team. Again, these guest memberships are centrally managed by team administrators on a Team Space basis, so control and visibility are clear.

Conclusion

Our group-centric approach is yet another reason why business teams should consider Oxygen for their needs. It is a simple fact of reality that teams will change. People change roles or leave the company. Others get hired and join the team. Keeping your users, file sharing relationships, and data under control should not be a struggle.
